Keystone Dental Partners Job Description: Practice Manager
Job Title
Exempt or Non-Exempt Status
Salary / Exempt Employee:
- Salaried
- Paid more than $455 a week
- Is not required to use time tracking software
- Receives 15 days vacation per calendar year
- Not paid overtime
- Must have an approved time off request before taking leave
Job Summary
This person will be responsible for management and functions of all clinical aspects as well as the business aspects in managing a successful dental practice. They will also be responsible for the assimilation of a smooth day to day operation of a productive dental team. Part of the role will also include hiring, training, and evaluating all employee performances along with providing direction and expectations to their teams.
Qualification Requirements
- Minimum 4 year college degree OR
- Minimum 3 years experience in business, dental industry, and/or managing staff
Performance Standards
- 40+ hours per week, typically Monday – Friday (8 AM – 12 PM & 1 PM – 5 PM), but may vary pending the needs of the business.
Direct Supervisor
Essential Functions & Duties
- Responsible for ensuring best practices are in place. Able to manage scheduling efficiency, problem solve spontaneously and proactively plan ahead.
- Manage full revenue performance of the center, including managing performance of all staff.
- Review and manage key performance indicators including production, collections, healthcare financing, treatment plan acceptance rate, collection ratio, and pipeline metrics.
- Foster strong relationships with the Doctor(s) to ensure alignment to strategic objectives throughout the practice.
- Review and interpret the financial performance of the practice on a routine basis to measure against plan achievement and profitability targets.
- Manage and report the practice assets through effective inventory control, supply chain, procurement and AR management to ensure effective inventory utilization and practice efficiency.
- Support clinical training programs and mentoring for clinical staff to ensure the clinical staff meets the technical requirements of their positions.
- In collaboration with Human Resources, manage directly and through others, the performance management and development of staff to ensure the retention, employee development, succession planning, career-pathing and performance of employees.
- Operate the practice with the utmost standards of confidentiality in all facets of patient information, employee and HR matters, and intellectual property as well as revenue and profitability.
- Serve as point of contact for the corporate support office and collaborate with the different support departments (i.e. Accounting, HR, Marketing) to ensure the center is fully utilizing the support available to it to run an effective and profitable operation.
- Monitor and manage consult flow for consistency, efficiency of doctor/staff time.
- Monitor and manage surgical schedule to maximize surgery time (if applicable to practice).
- Be present in the office or other designated Company work location on a full – time basis to effectively and consistently collaborate with practice team members, other practice manager, and administrative staff.
- Handle any patient compliments/complaints.
- Prepare and execute staff meetings and training sessions.
- Oversee computer software training and implementation.
- Fill out a purchase order forms if any required equipment are needed to perform the clinical jobs within the practice.
- Oversee the monthly culture budget allowance, and support team building exercises within the practice.
- Approve incoming bills, and route to the Director of Operations.
- Oversee the physical building and equipment, ensuring they are in good working order.
- Follow ALL other policies, as required in the employee handbook and any other written protocols.
- Assist doctor(s) with any special projects.

Sufficient command of dental terminology and procedures to communicate with dental and medical professionals.
- Mathematical skills: Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals. Be able to figure percentages.
